In accordance with the texts in force, the University of Paris-Saclay benefiting from the Plug in labs licence held by SATT Ouest Valorisation and operator of the Plug in labs University of Paris-Saclay platform, (hereinafter “the University of Paris-Saclay”) is committed to protecting and respecting the privacy of Users (as defined below) of the website www.pluginlabs-universiteparissaclay.fr (hereinafter the “Website”) and in particular to protecting personal data.

Within the framework of the activities it carries out with its Website, the University of Paris-Saclay undertakes to implement adequate measures for the protection, confidentiality and security of Users’ Personal Data (as defined below) in accordance with the European and French regulations applicable to it in terms of the protection of personal data, in particular the Regulation on the protection of individuals with regard to the processing of personal data EU 2016/679 of 27 April 2016 and the rules of national law taken for its application.

The purpose of this confidentiality policy is to describe how the University of Paris-Saclay, as Data Controller, processes Users’ Personal Data.

1. Definitions

User (or “You”) : any Internet user who browses, reads, views and uses the Website.
Personal data : any information relating to an identified or identifiable natural person; is deemed to be an “identifiable natural person” a natural person who can be identified, directly or indirectly, in particular by reference to an identifier, such as a name, an identification number, location data, an online identifier, or to one or more specific elements specific to its physical, physiological or genetic identity; psychic, economic, cultural or social.
Processing : any operation, or set of operations, relating to such data, regardless of the process used. It can be in particular the collection, recording, organization, conservation, adaptation, modification, extraction, consultation, use, communication by transmission, distribution or any other form. provision, reconciliation or interconnection, blocking, erasure or destruction of the data collected.
Data Controller : the person who determines the purposes and means of the Processing of Personal Data.

2. Data controller

The Data Controller is the University of Paris-Saclay, a public scientific, cultural and professional establishment whose address is: Plug in labs Université Paris Saclay, Direction de la Recheche et de la Valorisation, Avenue Jean Perrin, Bât 351, 91405 ORSAY Cedex. By using the Website, the User consents to the collection and use of his Personal Data as described in this privacy policy. If the User does not agree with the terms of these practices, he is free not to use this Website and not to provide any Personal Data.

 

3. Personal data collected

The User’s Personal Data likely to be collected on the Website and processed by the University of Paris-Saclay are the following:
Identity and contact details: surname, first name, email address
Professional information: company and function of the User,
IP (Internet Protocol) address of the User’s Internet connection
Connection and navigation data:
Geolocation (city, country)
Server connection data (entry channels, pages visited, URL visited and to be visited, timestamp)
Terminal identifiers (device used, screen resolution, brands used, operating system)
Connection identifiers (service provider, browser)

In case of sharing by the User on social networks (Facebook, Google +, Twitter, LinkedIn) of information present on the Website: the page shared, the platform, the number of users having shared it
Any other personal data which would be transmitted voluntarily by the User to the University of Paris-Saclay, in particular data concerning projects of an innovative nature.

4. Purposes of the Processing of Personal Data

Paris-Saclay University uses Personal Data strictly within the limits of the purposes for which they were collected.
The processing of personal data implemented by the University of Paris-Saclay has the following purposes:
To allow and improve navigation on the Website, the management and traceability of connection data and use of the Website;
Improve the relevance of the contents of the Website, and allow the optimization of the visibility of the Website;
Process requests made by the User;
Carry out anonymous statistics;
Carry out actions to recruit candidates (jobs, competitions, call for projects, etc.);
Conduct optional satisfaction surveys;
Analyze a project to create a company or to collaborate on a project with a view to exploiting an innovative technology or skill from a public laboratory;
Develop the Université Paris-Saclay network with a view to possible partnerships / collaborations.
In this regard, Université Paris-Saclay will only process your personal data on one of the following legal bases:
your consent;
Processing is necessary for the performance of a contract to which You are a party or in order to take measures at your request before entering into a contract;
Processing is necessary to enable Université Paris-Saclay to comply with its legal obligations;
Processing is necessary for the pursuit of the legitimate interests of Université Paris-Saclay

5. Collection of personal data

Personal Data is collected:
directly from the User when:
fills out an information or correspondence entry form on the Website,
contacts the University of Paris-Saclay by any means of communication (electronic mail, telephone, postal e-mail etc.)
indirectly, by the use of browser tracers or cookies, when the User:
browses the Website and consults advertisements
shares an offer or information through social networks such as Facebook, Google +, Twitter and Linkedin.
Université Paris-Saclay accesses certain Personal Data relating to the browsing of Website Users. This Personal Data is compiled and analyzed as a whole and may include the URL just visited, the browser used and the IP address.

6. COOKIE WARNING

What is a cookie?
The term cookie encompasses several technologies that enable the tracking of navigation or behavioural analysis of the User. There are many such technologies, including cookies, tags, pixels and Javascript code. A cookie is a small text file stored on the User’s computer or mobile device when he visits a website. Cookies may be implanted by the University of Paris-Saclay in the User’s computer when he/she visits the Website, they do not allow the identification of the User; on the other hand, they record information relating to the connection and navigation of the latter as indicated in article 5.

The cookies deposited by the University of Paris-Saclay during navigation on the Website have the following purposes:

to ensure the functioning of the Website;
to record data provided by the User in order to personalise his/her navigation experience.
Third party cookies may also be placed in order to identify the services consulted on the Website and thus establish statistics. These cookies allow the University of Paris-Saclay to know the use and performance of the Website, to establish statistics, volumes of visits and use of the various elements of the Website (content visited, path) allowing it to improve the interest and ergonomics of its services.
These cookies are deposited by Google Analytics and are covered by its cookie policy (see article 7).
The issue and use of cookies by third parties are subject to the privacy protection policies of these third parties. The University of Paris-Saclay does not have access to them and does not control them.
How can the deposit of cookies be configured?
The User has various means of managing his choices with regard to cookies:

The User’s browser can be configured to inform him of the cookies deposited in his terminal and to ask him to accept them or not, on a case-by-case basis, or to systematically refuse them.
The User can set the parameters of the cookies directly on the Website thanks to the banner that is displayed. He can thus accept all cookies, personalise or prohibit all cookies by modifying the cookie management panel.

7. Google Analytics privacy policy

Google Analytics is a web traffic analysis tool provided by Google, Inc (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA). It makes it possible to know how often the User has visited the Website, the pages he/she has visited, the duration of the visit and the way in which he/she has interacted with the Website. Thus, the information generated by the cookies may be transmitted to and stored by Google on servers abroad, in compliance with the legal requirements of the countries where they may be located.
The User may refuse Google Analytics cookies by customising the cookie management panel as indicated in article 6.

In the event of browser configuration, the University of Paris-Saclay informs the User that his navigation and experience on the Website may be limited.

The Website is not intended for minors. Nevertheless, if this is the case, the collection must be done with the express authorisation of the holder of parental responsibility for the child under 15 years of age, to be sent by e-mail to the address pluginlabs[at]universite-paris-saclay.fr

9. Retention period of Personal data

Unless a request is received from the User for the deletion of his/her Personal Data, admissible under the conditions referred to in Article 12, the University of Paris-Saclay will keep the Personal Data for the time necessary to achieve the purposes mentioned in Article 4 and then for a maximum period of sixty (60) months, unless a legal obligation requires a longer retention period.

In accordance with the law n° 78-17 of 6 January 1978 relating to data processing, files and freedoms (amended) and the European Regulation 2016/679 of 27 April 2016 relating to the protection of personal data, the persons about whom Personal Data are collected benefit from several rights for the management of their data:

The right of access: the User may request confirmation that his/her Personal Data are or are not processed by our services. If they are, the User may request a copy of this data free of charge, provided that such a request is not manifestly abusive, in particular by its repetitive or systematic nature.
The right of rectification: the User may request the modification or updating of inaccurate information concerning him/her.
The right to be forgotten: the User may request the deletion of information concerning him/her contained in our databases insofar as the latter are no longer relevant to one of the purposes set out above and provided that there is no legitimate interest of the University of Paris-Saclay or legal obligation requiring that they be kept.
The right of opposition and withdrawal of consent: the User may request at any time that he/she no longer appears on a file in our databases, unless the University of Paris-Saclay demonstrates the existence of legitimate and compelling reasons, which may prevail over the interests and rights and freedoms of the User.
The right to request the limitation of Processing: the User may request the suspension of Processing concerning him/her in the cases provided for by the regulations, i.e. when :
the User contests the accuracy of the Data for a period of time allowing the University of Paris-Saclay to verify the accuracy of the Data;
the Processing comes up against a legal difficulty and the User opposes the deletion of his or her data but demands instead the limitation of their use;
the University of Paris-Saclay no longer needs the Data for the purposes of the Processing but they are still necessary for the establishment, exercise or defence of the User’s legal rights;
the User has objected to the Processing, during the verification as to whether the legitimate reasons pursued by the Data Controller prevail over those of the User.
The right to portability: the User may request that his or her personal data be transmitted, in a structured format, to the University of Paris-Saclay or to another controller, when (i) this is technically possible and when (ii) the processing of Personal Data is based on the User’s consent.
The right to define general and/or specific directives relating to the fate of the Personal Data and the manner in which the User wishes his rights to be exercised after his death. In this respect, in the event of death which would be brought to the attention of the University of Paris-Saclay, the Personal Data will be deleted, except for the need to retain it for a specific period of time for reasons relating to legal and regulatory obligations and/or legal periods of limitation to which the University of Paris-Saclay is subject, and after having been communicated to a third party designated by the User.
The User is informed that he/she has the possibility of lodging a complaint with the Commission nationale de l’informatique et des libertés (CNIL) in case of dispute.

In the interests of confidentiality and protection of personal data, the University of Paris-Saclay must ensure the identity of the person before responding to such a request. The User must therefore identify himself by presenting a copy of his identity document (identity card or passport).
